Write the report, describing the main responsibilities and duties of your job, and explaining what skills and qualifications are required. Include any useful information that you think new employees should know about this kind of job. Write 250~300 words on your Answer Sheet. To: Mr Billy Cook, Managing Director From: Jack Crystal, Human Resources Manager Date: July 21, 2006 Subject: Job-description for Jack Crystal, Human Resources Manager. As requested, I am submitting my report describing my job, as asked for by the Managing Director. I have a degree in human resources management. I have been working in HR for the past five years with four years at managerial level. I am very familiar with China’s ordinance. I have developed performance management systems and worked on many projects related to manpower planning and staff retention. I recently implemented a management development program that has been well received by the management of the company. As Human Resources Manager, I need to report to the Human Resources Director and other members of the management team about how our human resources are being used. Given the expansion of the company, the scope of my role is quite broad. My main role is to manage the policy and planning team to formulate HR strategies, policies, and programs in the following areas: Planning and organizing human resources effectively Recruitment and selection Manpower planning Incentive management Performance management Career development and in-house training The above work may sound very routine, but I have to ensure that the subordinates are doing their work accurately by checking up on them when they are on the road, and by looking at the information they provide, so you have to develop an instinct about people, their working methods and reliability. For the job, you must be organized and pay attention to detail, but you also need creativity and imagination to understand what motivates the staff to work hard. Make the wrong HR decisions now, and the company will not be successful in the future. Report writing (higher) Question 2 Your company or organization is becoming more successful. In order for this success to continue, you want to expand and increase the budget of your department. The Directors have asked you to write a report saying why your department needs extra money. Write the report, explaining why your department needs more money, and include the following points: Whether extra staff is needed (and, if so, why). Whether changes to the office space and equipment should be made. What plans you have for future development. How the investment would generate extra business. Report on the additional budget for the coming year for the public relations department Introduction The aim of this report is to consider additional budget for the public relations department for the coming year. Findings The Public Relations Department is now having three interpreters and one receptionist. They can hardly deal with the increasing number of visitors and clients. It is impossible for them to cover over the upcoming busy seasons. Due to rapid business increase, the Public Relations Department urgently needs additional staff members: one interpreter and two receptionists. The Department needs to recruit five new employees to cover over the loss of staff through retirement later in the year, as well as two temporary workers to provide cover for maternity leave that may well be long-term. What’s more, the existing office space and equipment is inadequate for a busy department of public relations. Conclusion We have assessed the current staffing levels, and come to a conclusion: the Public Relations Department is short staffed/ shorthanded. It is clear that the Public Relations Department have to recruit new employees to tackle the possible problems occur in booming business of the company. Therefore, it needs badly extra money for business expansion. Recommendations (1) It is recommended that the Department start to recruit the new employees immediately by advertising in national newspapers and trade magazines. (2) Temporary positions should also be advertised in local newspapers for four production workers and two receptionists.
